Team Game Development Competition ? Terms and Conditions

1.       General provisions

  1. The organiser of the Team Game Development Competition (hereinafter referred to as the ?Competition?) is the Institute of Information Technology of the Faculty of Technical Physics, Information Technology and Applied Mathematics, Lodz University of Technology, with registered seat at ul. Wólczańska 215, 90-924 Łódź (hereinafter referred to as the ?Organiser?) represented by prof. dr hab. inż.  Piotr Szczepaniak, Head of the Institute of Information Technology.
  2. The Competition is held under the honorary patronage of the Rector of Lodz University of Technology.
  3. The Competition is aimed at meeting the following goals:
    • - select the best teams composed of university or high school students who demonstrate a passion for video game development;
    • - provide a forum for students from a variety of backgrounds (both high school and university students) in which to present game prototypes and exchange experiences in the broadly defined field of video game development;
    • - promote Lodz University of Technology and the city of Łódź, according to the promotion slogan ?Łódź kreuje?.
  4. The Competition will accept submissions from 1 May 2016.
  5. The closing date for all entries is 18 June 2016.
  6. The deadline for applications to the Competition is 18 June 2016. The results will be announced during the final ceremony on 1 July 2016.
  7. Participation in the Competition is voluntary and free of charge.
  8. The Organiser shall neither bear any costs nor be liable for any expenses incurred by the Entrants.

 

2.       Eligibility

  1. The Competition is open to teams of at least two, but no more than six students representing any school or university. In order to enter the competition the team must develop on their own and submit an original game project.
  2. Submissions of projects that have previously been awarded in the Competition will not be accepted.
  3. The Organiser reserves the right to assess if the submissions satisfy the eligibility criteria.

 

3.       Competition procedure

  1. The precondition for participation in the Competition is a timely submission of an online application form. Submissions must be made using the application form available at http://gry.it.p.lodz.pl/. The application must include a scanned copy of the consent for the processing of personal data signed by all team members (Appendix 1 available at http://gry.it.p.lodz.pl/). The hard copy of this document must be submitted to the Organiser no later than on the day of the Competition Event.
  2. The submission must include a video (up to 3 minutes) uploaded to Vimeo, which unambiguously illustrates the submitted project. The applicants are also obliged to submit by the deadline laid down in Article 1.5 an electronic storage medium containing a playable version of the game, source code (project), 5 screenshots (1 title screenshot and 4 gameplay screenshots), a screencast (up to 3 minutes) and trailer (optional, up to 30 seconds).
  3. In the event of any changes being introduced to the project after its submission, the entrants are obliged to update the materials listed in Article 3.2 no later than by 1 July 2016.
  4. All submitted projects must be fully functional and must comply with the technical requirements and specifications set for each of the  thematic tracks.
  5. The entrants are obliged to verify their project?s content according to a selected age-based  advisory rating system. All submitted materials will be published on the competition website. The Organiser reserves the right to disqualify any entry that incorporates offensive or illegal content.
  6. Entries submitted after the closing date will be void.
  7. A maximum of 15 best teams within each thematic track will be selected by the Organiser to advance to the semi-final. The list of semi-finalists will be announced no later than on 25 June 2016. The semi-finalists will present their projects at the Competition Event, i.e. on 1 July 2016. The Jury will evaluate the games of the semi-finalists individually during an open presentation at display stands.
  8. A shortlist of 3 teams within each thematic track will be selected by the Jury to advance to the final stage of the Competition.
  9. The Jury will select the winners on the basis of an independent plenary final presentation which will be held on 1 July 2016.
  10. Regardless of the final classification, the Jury may distinguish any of the semi-finalists, except the winners, by granting a special award.
  11. The Organiser shall not be liable for any submission failure occurring for reasons beyond the Organiser?s control, including but not limited to technical malfunctions of the Entrant?s computer system or Internet connection breakdown.
  12. The Organiser shall not be liable for any wrong or false data given by the Entrants. Providing false data shall result in deprivation of the award.

 

4.       Technical requirements

  1. The Team Game Development Competition comprises two thematic tracks:
    • - game project based on an existing engine, e.g. Unity, Unreal Engine, CryTec;
    • - game project based on a framework;
  2. For projects using an existing engine, it is required to employ that engine for both game   development and runtime. The engine used should have a free version available, but it is not mandatory to apply it in the project.
  3. For projects using a framework, there are no restrictions as to the development tools, but the game?s runtime version must rely on the framework only.
    1. The framework may be used to implement, support and enhance the development of the following engine elements:
      • - platform independence layer,
      • - memory allocation,
      • - mathematical techniques and problem-solving strategies,
      • - parsers (2D and 3D textures, meshes, materials and animations of 3D models),
      • - PRNGs,
      • - low-level rendering (rendering of 3D models, shaders),
      • - collision detection (spheres, boxes, viewing volumes)
      • - HID (mouse, keyboard, gamepad) low-level detection,
      • - audio - simple sound playing,
      • - network communication,
      • - text rendering,
    2. The framework may not (with one exception) implement the following key engine elements ? these elements should be implemented by the team members:
      • - collision detection and solving; physics of a point particle and rigid body, etc. character animation (skinning, skeletal animation, ragdoll, morph targets etc.)
      • - artificial intelligence (pathfinding, collision avoidance, steering behaviours, behaviour trees, GOAP, etc.)
      • - game world, level and scene manager,
      • - special effects rendering ( postprocessing, particle systems, decals, shades),
      • - scene graph, occlusion detection, lighting optimisation, LOD, space subdivision
      • - front-end (HUD, GUI),
      • - high-level HID ? simultaneous and sequential key strokes,
      • - script system,
      • - event system,
      • - object-oriented scene and game objects,
      • - gameplay, rules, game mechanics, goals and tasks
      • - shaders for reflection models other than  Blinn?Phong,
      • - deferred rendering,
      • - physically based rendering.

The entrants are allowed to use one of the above-mentioned elements in their project as a library or external tool, on condition that such use is permitted by the license and does not infringe the intellectual property rights of any third party. 

 

5.       Competition Rules

  1. All submissions must be the entrants? own originally created work. The entrants must hold   unlimited copyrights to their projects.
  2. Each team may submit only 1 project within each thematic track.
  3. All submissions, including the electronic storage media and all documentation files contained therein will become the property of the Organiser.
  4. The Organiser shall provide an auditorium, projector, projecting screen, sound amplification and power supply.
  5. All teams must arrange for their own equipment to showcase their game at the Competition Event.
  6. The Competition consists of two stages: the semi-final and the final. In the semi-final, the Jury and the audience will evaluate each game independently by visiting the stands in the exhibition hall, where all the projects will be set up and displayed. Each member of the Jury may select a maximum of 5 teams within each thematic track. Each audience member is allowed to cast one vote only within each thematic track. The teams shortlisted for the final will be required to deliver a public presentation of their project. The Jury will select one winner among the finalists in each thematic track and grant special mentions.
  7. All entrants declare to attend the Competition during the entire event on 1 July 2016.
  8. The projects will be evaluated according to the following criteria:
    • - originality of the game concept,
    • - attractiveness (playability),
    • - technological level,
    • - technical quality.

 

6.       Judging and Prizes

  1. The Organiser shall appoint a Jury composed of both academic and professional experts.
  2. Subject to the criteria specified herein, the Jury shall select the winners of the Competition and grant special mentions.
  3. The prizes in the Competition are sponsored by the representatives of the video game industry.
  4. The prizes are non-exchangeable, non-transferable and non-refundable and there is no cash alternative in whole or in part. The Organiser disclaims all warranties with respect to any prizes provided in the Competition. Any complaints regarding the quality of the prize won should be filed to its producer or sponsor.
  5. Competition winners  may not transfer the rights to the award to a third party.
  6. The list of winners will be announced after the close of the jury session during the final stage of the Competition Event on 1 July 2016 and published without delay on the competition website.
  7. The prizes will be presented to the winners directly at the final ceremony on 1 July 2016.
  8. If the prize winner cannot be reached by the Organiser using the contact information provided at the time of entry, the prize shall be forfeited.
  9. Failure to claim the prize within 3 months from the win date shall result in prize forfeiture.

 

7.       Complaints procedure

  1. The Entrants may submit complaints or objections to the progression of the Competition. Any complaints should be submitted in writing to the Organiser within 30 minutes after the announcement of winners. Complaints received after the expiry of the above-specified time shall be deemed invalid.
  2. All valid complaints shall be considered immediately after they are filed and the complainant shall be informed of their legitimacy or the lack thereof.
  3. The Organiser reserves the right to postpone the awarding of the prizes won.

 

 8.       Personal data

  1. Personal data of the Entrants are administered by the Organiser.
  2. Personal data of the Entrants will be used only for the purpose of organisation and management of the Competition. Subject to a prior written consent, some personal data of the Entrants may also be processed for marketing purposes.
  3. The Entrants have the right to access and edit their data. The Entrants are obliged to promptly inform the Organiser of any changes whatsoever relating to their personal data.
  4. Data submission is voluntary, however, in case when the Entrant does not submit the data or does not agree to the processing of their personal data for the purposes of organisation and management of the Competition, then s/he will not be eligible to participate in the Competition.

 

 9.       Final provisions

  1. These Terms and Conditions will be available during the Competition period at the     Organiser?s  official seat and on the website http://gry.it.p.lodz.pl/
  2. The above section titles are provided for convenience only and shall not affect the interpretation of these Terms and Conditions.
  3. These Terms and Conditions will be governed by Polish law and any disputes will be subject to the exclusive jurisdiction of the courts of Poland. After exhausting the complaints procedure, the complainant has the right to take legal action through the court of law having jurisdiction over the Organiser?s registered seat.
  4. The Organiser reserves the right to cancel the Competition without obligation to justify its decision. In this case, the liability of the Organiser cannot be held in any manner whatsoever and the Entrants cannot claim any compensation.
  5. The Organiser reserves the right to introduce amendments to these Terms and Conditions.
